Let portal and guest users request a document

Last updated 25 October 2026.

For administrators: at the end visitors to your Experience Cloud site download a document from a page.

People on an Experience Cloud site can ask for a document from a page. Docable makes it in the background, as one Salesforce user you name, never with the visitor’s own session.

Before you start

  • You have the Docable Admin and Approver roles (Docable Manage Installation and Docable Activate Template).
  • The template is active, and the site’s members hold Docable Portal Requester.

Steps

  1. Give the site’s members Docable Portal Requester.

  2. In Docable Setup › Generation, tick Portal users or Guest users for the template. Under Portal and guest generation user, enter that user’s Username, then choose Save settings.

  3. In Salesforce Setup, set the same user on the subscription of the Docable Generation Request platform event.

  4. Suspend and resume that subscription so Salesforce uses the new user.

  5. In Experience Builder, add the Docable Get Document component to the page. Set Template Id, Record Id (the page’s record), Outputs and Button label. Site documents use the template’s own Brand Kit. To let the component name another of the template’s kits in its Brand Kit setting, tick Site users choose the Brand Kit for the template in Docable Setup › Generation (off by default).

  6. Publish the site. The visitor chooses the button and downloads the document from the same page.

Example

A support portal lets a customer download the case summary for their own case.

Setting Value
Template Case summary report
Portal users Ticked
Template Id The template’s record Id
Record Id The page’s record
Outputs PDF
Button label Get the document

Check it worked

The visitor sees the button, and after a moment a Download link for the file. The document is held as a temporary File that only the person with the request’s token can collect. It is deleted afterwards.

If it doesn’t work

What you see What to do
The download never appears. A portal or guest download is up to 4 MB and lasts 24 hours. Make larger documents in Salesforce, or send them another way your site supports.
Requests are made by the wrong user. Set the same user on the Docable Generation Request subscription, then suspend and resume it.
The template is refused for the site. Tick Portal users or Guest users for that template in Docable Setup › Generation.
A site request with a Brand Kit is refused. Tick Site users choose the Brand Kit for the template, and name a kit the template allows.
