Allow a template to run in system mode
Last updated 25 October 2026.
For approvers: at the end a chosen template may read every record and field it uses, for the people you allow.
By default a document shows only what the person making it can see. System mode reads every record and field the template uses, so the document can show values that person cannot see.
Before you start
- You have the Approver role (Docable Activate Template), which lets you change a template’s generation settings.
- You have read who can open the result: see the last step.
Steps
-
Open Docable Setup › Generation.
-
In the template table, tick System mode allowed on the template. Choose Save settings.
-
Give each person who may ask for system mode Docable Generate in System Mode.
-
They choose System mode: every record and field under Read the records when they generate. Each request chooses user or system mode; these settings are the ceiling.
-
Check who can open the document. When it is kept on the record, anyone in Salesforce who can see the record can open it (portal and site users cannot).
Example
A case summary for a customer shows the case’s published comments. Allow system mode only if the whole document suits everyone who can see the Case. Otherwise leave the box unticked, so each document shows only what its maker can see.
Check it worked
The Read the records choice appears in Generate a document for that template, for people with the permission set. The approval and activation dialogs show whether system mode is allowed.
If it doesn’t work
| What you see | What to do |
|---|---|
A request is refused with GENERATION_SYSTEM_MODE_NOT_ALLOWED. |
The template does not allow system mode. Tick System mode allowed for it. |
A request is refused with GENERATION_SYSTEM_MODE_PERMISSION_REQUIRED. |
The person needs Docable Generate in System Mode. |
| The File on the record shows more than some people should see. | Allow system mode only on templates whose content suits everyone who sees the record, or choose not to keep the File on the record. |
