Templates and versions

Term	What it means	Guide
Template	The design of one kind of document, built on one Salesforce object. It keeps its versions	Write and format a document
Base object	The Salesforce object a template is built for, such as Quote or Order. Documents are made from its records	Put Salesforce data in a document
Version	One saved state of a template. A version is proved, approved and made active as a whole	Approve and activate a template
Inactive draft	A version that is being written and makes no documents	Check a template with Preview, Validate and proofs

Approved · inactive	A version a person has approved, not yet made active	Approve and activate a template
Active	The version that makes documents. A template has one	Approve and activate a template

Writing a template

Term	What it means	Guide
Chip	A Salesforce field sitting in the text. Each document prints its value	Put Salesforce data in a document
Placeholder	A field, picture or text with no source yet. It shows Needs mapping until you connect it	Put Salesforce data in a document
Related list	The records that belong to the base record, such as a quote’s line items	Show related records in a table
Repeating section	Content that prints once for each record of a related list	Repeat a section for each record
Calculation	A value worked out from fields, such as a deposit	Add totals and calculations
Total	A count, sum, average or other result over a related list	Add totals and calculations
Rule	A test on your data. Show when uses one to decide what prints	Show a section only when it applies
Otherwise	What prints when a Show when rule is not met	Show a section only when it applies
Question	A value the person generating the document types in: asked when generating	Put Salesforce data in a document
Record image	A picture taken from a File on the record, found by its exact title	Add pictures and photos

Checking and approving

Term	What it means	Guide
Validate	The editor’s check for problems that would stop a document	Check a template with Preview, Validate and proofs
Preview	The template filled in from a real record, without making files	Check a template with Preview, Validate and proofs
Proof	A PDF and a Word file made from a real record, for a person to check before approval	Check a template with Preview, Validate and proofs
Approval	An optional step: a person, by default not the author, confirming one exact version after its proofs	Approve and activate a template

Brand Kits

Term	What it means	Guide
Brand Kit	Logos, colours, fonts, company details, header, footer and document numbers that a template takes from one place	Give your documents a Brand Kit
Brand Kit colour	A named colour in a kit, such as Primary or Muted text, that a template follows when the kit changes	Give your documents a Brand Kit
Document number series	A counter that numbers each document a kit makes, with a prefix	Give your documents a Brand Kit

Making documents

Term	What it means	Guide
Generation run	One request to make documents. It lists a document for each record and the Files made	Generate a document from a record
Output	A file kind: PDF or Word (DOCX)	Choose PDF, Word or both
Combined PDF	The PDFs of one run joined into one file	Combine documents into one PDF
Snapshot	The data captured when a document was made, so Retry can make it again exactly	Retry failed documents
System mode	Making a document as Docable rather than as the person asking. It needs a permission set and a template that allows it	Allow a template to run in system mode
Value provider	Apex or Flow that an administrator registers to supply values to templates	Use the Docable Setup page

AI and automation
