Inspection reports from Salesforce Field Service
Last updated 28 October 2026.

An inspection report tells the customer, in one look, whether the site passed, and then proves it item by item. This guide makes one on the Work Order: fire extinguishers, lifting equipment, solar arrays or any asset you inspect. The example is an annual fire extinguisher service for Stanmoor Facilities Management, a sample brand.
What the starter gives you
The Asset inspection report starter is built on Work Order and needs Field Service.
- A title panel: the report number, inspection date, engineer, next due date and an overall result badge, Pass, Pass with advisories or Fail, worked out from the line items.
- A large photo of the site and a result banner that says what happens next.
- Figure tiles: items inspected, passed, advisories and failed.
- The site and contact, and the scope of the inspection.
- Findings, one row per item with its location, the finding and a result badge.
- Every item, photographed: a gallery with a captioned photo of each item inspected.
- Defects and recommended actions, shown only when there are some.
- Photos from the inspection, and the engineer’s and customer’s signatures.

It is not a prescribed form. If your industry has one, use its wording and checks.
How the overall result works
The overall badge comes from the line items’ statuses. In the example, Completed or Closed counts as a pass, On Hold as an advisory and Cannot Complete as a fail, and the rule is printed under the findings table. One failed item makes the report a Fail; the red banner and the defects section appear only then.
Sections that appear only when they apply use Show when rules. See Conditions.
Build it
- In the Docable app, open Templates, choose New, then Start from a quick start, and choose Asset inspection report.
- Choose your Brand Kit.
- Rename the sections for what you inspect, and change the scope paragraph.
- Check the findings table shows the fields you record for each item. Click the table to change its columns. See Tables and collections.
- Keep the photo galleries. Each one prints the Files on the record, so photos taken on the job appear without anyone placing them. See Pictures.
- Prove it on a real work order with a failed item and on one where everything passed, so you see both versions. Then send it for approval. See Proof and preview.

On the job
The engineer records each item’s result on the work order line items, takes the photos, then opens the work order in the Field Service mobile app, taps Actions, Generate Service Document and the inspection report. The engineer and the customer sign on the screen and the engineer taps Submit. With no signal, the report is made and filed on the work order when the phone syncs. See Customer sign-off with no signal.
