Make a PDF from a Salesforce work order

Last updated 26 October 2026.

A work order can become a PDF, an editable Word file or both, in four ways: from the record page, on a phone in the Field Service mobile app (with or without signal), from a Flow when the work order closes, or in bulk for many work orders with one combined PDF. Each uses the same active template on Work Order, such as the Branded service report.

Before you start

From the record page

Docable Studio previewing a Ternbrook delivery note on order TB-DN-55821 for Ashby Garden Centres Ltd: the filled-in page with the delivery address, ordered, delivered and outstanding quantities and an Outstanding items section, and a panel with the record, the answer asked at generation and the proof checks with a Make PDF and Word proofs button.
A document previewed in Docable Studio with its filled-in page and the answer asked when it is made.
  1. Open the work order. In Generate a document, choose the Template, and wait for Getting it ready… to change.
  2. Under Make, tick PDF, Word (DOCX) or both.
  3. Answer each question under Questions from the template.
  4. Leave Keep the files on this record on, then choose Make PDF (or Make PDF and Word) and Open each file.

An administrator adds the Docable Generate Document panel to the record page once. See Generate a document from a record.

In the Field Service mobile app, with no signal

Generate Service Document in the Field Service mobile app while offline: the note Offline example, the document may differ and is made from the latest details when you're back online, and the example page of a site visit report for work order 00000046, Annual service: east roof array, rows 3 to 5, Coldharbour Leisure Centre, with the site photo, the result banners, the customer and site box and the work carried out, marked EXAMPLE, with Back and Submit at the foot.
The offline example of the document, with its site photo, with no signal.
  1. Open the work order, tap Actions, then Generate Service Document, and choose the document.
  2. Tap Preview (or Preview and sign), answer any questions, and sign.
  3. Tap Submit. The screen says Saved for later.

When the phone syncs, Docable makes the document from the work order and files it on the record by itself. Online it is made straight away. See Make a document on a phone.

From a Flow, when the work order closes

  1. In Flow Builder, create a record-triggered Flow on Work Order that runs when its Status becomes Completed.
  2. Add an Action element and search for Generate Docable document (category Docable Studio).
  3. Set Template name to the active template’s exact name, and Record Id to the triggering record’s Id.
  4. Set Outputs to PDF, DOCX or PDF;DOCX, and Run in background to true.
  5. Save and activate the Flow.

See Generate documents from Flow.

In bulk, with one combined PDF

The Generation runs tab in Docable, every generation in the org newest first: a Statement of account run, 3 of 3 made, and a Ternbrook delivery note run, 30 of 30 made, each in user mode with the template's Brand Kit choice and the time submitted.
The Generation Runs tab: each run with how many documents are made.
  1. In Flow Builder, add Start Docable generation job (category Docable Studio). Set Template name, Record Ids to the work orders, and Outputs to PDF.
  2. Tick Combine into one PDF, and Blank pages for two-sided printing if you print two-sided. Run the Flow.
  3. Open the Generation Runs tab. The run reads Queued, then Being made, then Made.

Each work order gets its own File, and the run holds the combined PDF, one set of pages for every document in record order. See Make documents for many records and Combine documents into one PDF.

Where the file lands

Every route files the document on the work order, under its Files. When an administrator has set a storage destination, such as SharePoint, Google Drive or Amazon S3, the document goes there instead, with a copy in Salesforce Files if Also keep a copy in Salesforce Files is on. The Docable Documents component on the record lists every document made for it, wherever it is kept. See Storage destinations.

PDF, Word or both

One template makes a PDF, an editable Word file or both from the same data, so the values and rows match. A combined PDF is PDF only. See PDF, Word or both.

Check it worked

Open the work order’s Files (or the storage destination’s folder). The new document is there. The Generation Runs tab shows the run as Made. Open the Word file, change a line and save it: it is a real Word document.

If it doesn’t work

What you see What to do
No template is offered on the work order. A template appears once it is approved, activated and shared with you.
Generate Service Document is not in Actions on the phone. See Set up Docable for the Field Service app.
A red message names a reason code. Do what the next step says, and look the code up in Error and reason codes.
A bulk run shows documents that failed. Open the run and choose Retry failed documents. Documents already made are kept.
