A PAT test record lists every item tested on a round: what it is, where it is, what was checked, whether it passed and when it is due again. This guide makes one on the Work Order, from the starter to the signed record on the job.

Does the law require it?

HSE says the Electricity at Work Regulations 1989 do not make inspection or testing of appliances a legal requirement, and do not say how often. How often depends on the equipment and where it is used, and there is no legal requirement to label tested items. Records help you show the equipment is maintained. See HSE’s PAT frequently asked questions.

What the starter gives you

The PAT test record starter is built on Work Order and needs Field Service.

  • A title panel: the record number, test date, tester, retest date and an overall badge.
  • Figure tiles: items, passed, failed and not tested.
  • The site, the contact and the test instrument, with its serial number and calibration date, asked when the record is made.
  • Items inspected and tested: each item’s tag, location, the visual check and tests, a result badge and its retest date.
  • Failed items and the action taken, shown only when there are some.
  • Photos, shown only when there are some, and the tester’s and customer’s signatures.
  • Pass labels: an optional page of cut-out labels, each with a QR code.

Have the wording reviewed by a competent person before you use it.

Build it

  1. In the Docable app, open Templates, choose New, then Start from a quick start, and choose PAT test record.
  2. Choose your Brand Kit.
  3. Check the items table shows the fields you record for each item. Click the table to change its columns. See Tables and collections.
  4. Keep or remove the pass labels page.
  5. Prove it on a round with a failed item, then send it for approval. See Proof and preview.

On the round

The tester records each item’s result, photographs any failure, then opens the work order in the Field Service mobile app, taps Actions, Generate Service Document and the PAT test record. They answer the instrument questions, both people sign on the screen, and the tester taps Submit. In a plant room or cold store with no signal, the record is made and filed on the work order when the phone syncs. See Customer sign-off with no signal.
