Docable Setup › Retention and storage: the Keep … for (days) fields, the nightly sweeps with Run now, and this org's storage.

For administrators: at the end Docable clears its working data on a schedule you choose, and keeps your Files.

Docable keeps its own working data for a set time, then a clean-up sweep deletes it. A sweep never deletes the documents you keep as Files.

Before you start

  • You have the Docable Admin role (Docable Manage Installation).

Steps

  1. Open the Docable Setup tab and the Retention and storage section.
  2. Set the number of days for each kind of data, then choose Save settings.
  3. Choose Schedule nightly sweeps, or choose Run now on a sweep to run it at once.
  4. For one document with no permanent File, set Keep the files to false in Flow, keepFile to false in Apex or REST, and temporaryHours between 1 and 168. The File is linked only to the run and its owner, and removed after that time.

Example

The defaults.

Setting Default Allowed
Keep generation data for (days) 7 1 to 90
Keep generation records for (days) 90 1 to 3,650
Keep proofs of replaced drafts for (days) 30 0 to 3,650
Keep save records for (days) 90 0 to 3,650
Keep AI tasks for (days) 90 0 to 3,650

Generation data is the saved copy that makes an exact retry possible. Documents you keep as Files stay until your own policy or a person deletes them. Temporary Files default to 24 hours.

As a guide, a work-order service report takes about 6 KB of data storage per document, a snapshot of 70 to 90 KB for the retention period, and a PDF of 27 to 165 KB and a Word file of 13 to 38 KB while you keep them. Your template will differ.

Check it worked

The Get Started tab shows Clean-up sweeps as Ready, for example One sweep is scheduled. This org’s storage in Retention and storage shows your data storage, file storage and API requests today.

If it doesn’t work

What you see What to do
Saving is refused: retention periods are whole days within the range. Enter a whole number inside the allowed range for that setting.
Get Started says no clean-up sweep is scheduled. Choose Schedule nightly sweeps. Until then old proofs and runs stay in storage.
A request is refused with GENERATION_TEMPORARY_HOURS_INVALID. Temporary Files last from 1 to 168 hours.
